Groups and multi branch businesses have a different phone problem to single sites. Calls need to reach the right location, with the right diary, the right prices and the right opening hours, while the caller experiences one business.

Done badly this produces the worst of both worlds: a central number that knows nothing local and a branch number nobody answers.

Keep the local numbers

Local numbers matter for local search and for customer confidence. Each branch keeps its own, and each is answered with that branch's information, hours and diary.

Handling the wrong branch

A meaningful share of calls reach the wrong site, usually because the caller found whichever number appeared first. This is normally handled badly, with a transfer that fails or a number read out.

Central versus local booking

Decide which diary is authoritative. If bookings live locally, the assistant needs access to each. If there is a central system, it needs the rules about which services each site offers.

The common failure is booking somebody in at a branch that does not offer what they asked for, which is worse than not booking them.

Consistency of message

One of the underrated benefits is that every branch now answers the same way, with the same prices and the same qualifying questions.

For groups that have grown by acquisition, this is often the first time that has ever been true.

Reporting by site

Ask for call volume, answer rate and bookings created broken down by location. It will show you which branches were quietly losing calls, and the variation between sites is usually larger than head office expects.

That data alone frequently justifies the project, because it identifies where the problem actually is rather than where it was assumed to be.

Does each site need its own configuration?

Shared core information with per site overrides for hours, prices, services and diary is the usual arrangement, and it is much less work than configuring each from scratch.

Can we route overflow between branches?

Yes, and for groups with uneven demand it is one of the more valuable things to set up.
